We're looking for an enthusiastic, outgoing individual with a can-do attitude to join us as an Events Operations Executive. This is a rare and exciting opportunity to join Moving Venue, London's most experienced venue caterers.

Event Operations Executive

The ideal candidate will be someone who has plenty of enthusiasm, a can-do attitude and an outgoing personality. You should be an excellent team player, able to communicate at all levels, and committed to sharing your knowledge and skills. A passion for organisation, providing outstanding service to clients, and the ability to cope with the pressure of a fast-paced role while maintaining professionalism at all times are essential. 

THE ROLE

Moving Venue is one of the original event caterers in London, celebrating its 40th anniversary this year. We have been impressing clients with outstanding events since 1984. Our reputation for delicious food and outstanding excellence has secured us a place on the accredited supplier list of over 40 venues, in and around London. The ‘Event Operations Executive’ plays a crucial role in operating and supporting the operations team in the execution of events and projects, ensuring that every detail is meticulously coordinated to deliver seamless experiences for our clients and attendees. You will work closely with our event planning team, chefs and external stakeholders to assist in managing all operational aspects of our events.

KEY RESPONSIBILITIES

  • Managing the planning and delivery of allocated events, ensuring consistency with Operations’ procedures and standards:
  • Placing equipment, staff, and beverage requisitions.
  • Liaising with venues.
  • Planning of the event.
  • Preparing function areas.
  • Loading and unloading of vehicles.
  • Arranging transport to and from events.
  • Management of food and beverage service.
  • Breaking down and clearing events.
  • To execute Moving Venue events/client tastings as the lead operator.
  • Lead by example to promote business and act as a role model to ensure you are consistently operating in a fair and professional manner, being accountable for the commercial success of the company.
  • Taking responsibility for any events allocated to you and ensuring they meet the clients’ and Smart Group’s expectations.
  • To be willing to help operate other full-time Operations managers’ event/s and take a hands-on management on-site role.
  • Always ensuring there is a clear operational plan which considers both maintaining delivery standards and being as cost-effective as possible.
  • Comply with and enforce all company policies, standards and legislative requirements relevant to maintaining effective performance, communication, training and a good business reputation; including Food Hygiene, Allergens, Fire, Health & Safety regulations, attending relevant training as required.
  • Represent MV values in your general conduct and your dealings with clients and suppliers.
  • Ensuring that Group, venue and legislative requirements with regard to Health & Safety at base and at venues/on site are adhered to at all times.
  • To maintain, monitor and review the Moving Venue ‘How to Operate Venue Bibles’.
  • Ensuring all personnel on site are briefed to the Group’s level and all paperwork is completed and all RAMS submitted for each event to venue managers.
  • Assisting in the profitability of the company through the prudent use of goods ensuring that wastage and breakages are kept to a minimum.
  • Ensuring all event cost-related information is correctly recorded and reported to the relevant parties within the set time scales
  • Assisting the Operations team to ensure all events are executed within the parameters of agreed budgets, achieve effective cost control and return the required gross profits

MISCELLANEOUS:

  • Representing Moving Venue positively both internally and externally.
  • Managing the on-site event team to take pride in their role through demonstrating a consistently positive and professional approach to communications, working to clear expectations and objectives using great systems and procedures.
  • Listen to feedback and provide solutions as necessary.
  • Maintaining up-to-date knowledge of venues, clients, competitors, markets, and the industry, with awareness of the impact of any developments in these areas.
  • Complying with MV’s Health & Safety/Food Safety policy and procedures and observing safe working practices both at the base and during events.
  • Performing any other reasonable duties required to efficiently and profitably manage the company.
