Staffing and People Assistant

The Staffing and People Assistant role offers a great opportunity for growth within a dynamic and fast-paced business environment. The candidate will be a key member of the people team, assisting and reporting to the Group People Manager with a dotted line to the Head of People.

THE ROLE

The candidate will be required to ensure that Moving Venue continues to operate its events to an ‘industry-leading’ standard.

KEY RESPONSIBILITIES

 STAFFING DUTIES

  • Provide event personnel with clear and concise access to information regarding booking, confirmation and cancellation procedures, venue information and start and end timings of events etc.
  • Where required, attending events to manage event personnel and staffing areas: signing in and out, rest areas, meals on duty where required.
  • Reconcile labour to event budgets.
  • Approving and signing off agency invoices
  • Maintaining the standards required of the staffing operation and event personnel.
  • Working with agencies to incentivise staff and ensure we build a core team across both brands.
  • Maintain day-to-day relationships with our staffing agencies, ensuring that the Group’s events are sufficiently resourced and that the staff attending our events are engaged and meet the highest possible standards of skills and presentation.
  • Help implement staffing strategies which consider short-term and long-term staff requirements in terms of numbers and skill levels, identifying busy periods and plan accordingly.
  • Ensuring that staff uniforms are laundered and kept in good repair, stored correctly and audited each quarter.
  • Order staff food for events.
  • Compile and send personnel lists for venues within the timeframes given.
  • Ensure timely distribution of all timesheets pre-event and send to Event Managers.
  • Attend key events to assess and monitor event personnel performance.
  • Updating and maintaining staff records, ensuring tax, banking and RTW documentation is up to date and compliant.
  • Prepare cost centre report to be uploaded onto HR management software.

HR MANAGEMENT SOFTWARE

  • Updating and maintaining staff records, ensuring tax, banking and RTW documentation is up to date and compliant.
  • Prepare cost centre report to be uploaded onto HR management software
  •  Assisting with collating and assigning payroll information for the HR Manager.
  •  Compile weekly expense reports including events allocation to be submitted to the finance team
  •  Allocating accurate labour spend to individual events.

PAYROLL

HEALTH & SAFETY/FOOD SAFETY DUTIES

  • Assigning and monitoring all full-time and casual employees’ training records, via Mapal software.

MISCELLANEOUS DUTIES

  • Attending training sessions, both internal and external.
  • Complying with MV’s Health & Safety/Food Safety policy and procedures and observing safe working practices both at the base and during events.
  • Representing the Smart Group in the most positive way both internally and externally
